We never sell your information or your tenants' information, and we never share phone numbers with anyone for their marketing.
1. Who this covers
This policy explains how TenantLine24 LLC ("we", "us") handles information from landlords and property managers who use our service ("clients"), the tenants and other people who call our line ("callers"), and visitors to tenantline24.com.
2. What we collect
- From clients: name, company, email, phone number, property addresses, unit counts, emergency rules, emergency contacts, vendor details, and billing records.
- From callers: name, phone number, unit or address, the maintenance problem they describe, and the call recording and transcript.
- From people who sign up or contact us: the details you type into our forms and emails.
- Technical information: basic data your browser sends (such as IP address and browser type) used to keep the site secure and working. We use one login cookie for the client portal. We do not use advertising cookies.
3. How we use it
- To answer calls, create maintenance tickets and send them to the right client, contact or vendor.
- To send account emails and, if you opt in, text message alerts about tickets.
- To set up, bill and support client accounts.
- To check quality and train our team, using call recordings and transcripts.
- To keep the service secure and meet legal requirements.
4. Who we share it with
- Our client: caller details and recordings go to the landlord or property manager who owns that property.
- Vendors and contacts the client chose: only the details needed to handle the repair.
- Service providers who run our systems for us: for example hosting and storage (Cloudflare), email delivery (Resend), phone and text messaging (Twilio and our phone agent provider), and payments (Stripe). They may use the information only to provide their service to us.
- When the law requires it, or to protect someone's safety.
Mobile numbers and text message consent are never shared with third parties or affiliates for marketing.
5. Text messages
We send texts only to people who agreed to receive them. Reply STOP to stop, or HELP for help. Message and data rates may apply.
6. How long we keep it
We keep client account information while the account is open and for a reasonable time afterwards for billing, tax and legal records. We keep tickets and call recordings as long as the client's account needs them, then delete them. You can ask us to delete information sooner, unless we must keep it by law.
7. Security
Information is stored with trusted providers, sent over encrypted connections, and only available to people who need it to do their work. No system is perfectly secure. If a breach affects you, we will tell you as the law requires.
8. Your choices and rights
You can see and update most of your information in the client portal. You can also email us to ask for a copy of your information, to correct it, or to delete it. Depending on where you live, you may have more rights under your state's privacy law. We will not treat you differently for using them.
9. Children
Our service is for businesses and adults. We do not knowingly collect information from children under 13.
10. Changes
If we change this policy, we will update the date above and, for important changes, email our clients.
